Adding an HTML Signature in Gmail
A custom HTML signature makes every email you send look professional and on-brand — your logo, contact details, and links all formatted exactly how you want them. Gmail supports HTML signatures but doesn't let you paste raw HTML directly through the normal settings. This guide shows you the quickest way to get it done.
Before you start
You will need your HTML signature file (we will have sent this to you). This takes about 5 minutes and is done entirely in your browser. You only need to do this once per Gmail account — it saves automatically.

Installing your HTML signature in Gmail
Open the HTML signature file in your browser
Find the HTML signature file we sent you (it will end in .html). Double-click it to open it in your browser — it should display a preview of your signature.
Select all and copy
Click anywhere inside the signature preview, then press Cmd+A (Mac) or Ctrl+A (Windows) to select everything, then Cmd+C or Ctrl+C to copy it.
Tip: Make sure you select the entire signature including the logo image and all text. If anything is missing it will not paste correctly.
Open Gmail and go to Settings
Go to mail.google.com and sign in. Click the gear icon in the top-right corner, then click 'See all settings'.
Go to the Signature section
On the General tab, scroll down until you see the Signature section. Click 'Create new' if you don't have a signature yet, or click the existing signature name to edit it.
Paste your signature into the editor
Click inside the signature text box and paste using Cmd+V (Mac) or Ctrl+V (Windows). Your full HTML signature — logo, name, links and all — should appear formatted correctly.
Tip: If it pastes as plain text instead of a formatted signature, try opening the HTML file in Chrome or Safari (not Firefox) and copying from there.
Set it as your default signature
Under 'Signature defaults', use the dropdown next to 'For new emails use' and select your signature name. Do the same for 'On reply/forward'. This ensures it appears automatically on every email.
Save your changes
Scroll to the bottom of the Settings page and click 'Save Changes'. Gmail will reload and your signature is now active.
Send a test email to yourself
Click Compose to start a new email. Your signature should appear at the bottom automatically. Send a test to yourself to confirm it looks correct in the received email.
Tip: If the logo image doesn't appear in the received email, it may be because Gmail is blocking external images by default. Check your Gmail display settings and enable 'Always display external images'.
